HI THERE, 

Before fulfilling payment for the non-refundable vendor's fee, (based on the dimensions of your set-up/booth space), there are a few things you need to know and agree with before the day of the Suburb Pop event.

Suburb Pop Vendor’s Agreement

You must read and sign the vendor’s agreement, to be accepted as a Suburb Pop vendor, and to participate in Suburb Pop.

vendor’s fee

I understand that the vendor’s fee is non-refundable. The vendor’s fee covers security for the day of the event, decorations, Suburb Pop’s advertising, marketing and social media ad costs.

ADVERTISING

Suburb Pop advertises their pop-ups and events on social media, paid promotional ads, Eventbrite and physical tickets. Although, Suburb Pop advertises, I agree that I will uphold the vendor's responsibility to market/advertise my participation in the Suburb Pop event. 

I agree and understand that i must advertise + promote my participation in the pop-up event. Suburb Pop is not responsible for my sales and engagement at the event.

SETTING UP

Prior to a Suburb Pop pop-up/event, a coordinator will send a venue layout for the day event, along with set-up times, regulations and parking instructions based on the venue.

I agree that I will not disclose the venue layout floor-plans to any other parties.

I understand that a Suburb Pop coordinator will check the dimensions of my space before I am allowed to set up. 

I agree that I will only bring in my approved tables, garment racks, stands, e.t.c to the day of the Suburb Pop event. I understand that garment racks/stands are included in the space I pay for.

If my set-up dimensions exceed the space that I paid for, I agree I will to pay the difference immediately (in cash) upon setting up.  I understand if I refuse to pay the difference, I will forfeit the payment and I will not be allowed to participate in Suburb Pop. 

Example: If I pay for a 4-foot amount of space, I cannot bring in a 4-foot table and a 6-foot garment rack the day of the event. 

I agree that that I will set up in the allotted time that Suburb Pop gives me, and park only in regulated areas for the day of set-up. 

PERSON(S)

I agree that only 1-2 approved persons can help me set-up my Suburb Pop booth.

I agree that only 1 person, can assist me during the duration of the pop-up.

I agree that I will not bring in any non-approved person(s) to the set-up of Suburb Pop, or to assist me during Suburb Pop. I understand any person(s) not disclosed in the form below will not be allowed entry during the set-up of Suburb Pop.

I agree and understand that person(s) assisting me with setting-up the cannot be distracting or disruptive at the day of the event.

I understand and agree that I will not bring family, friends, and any non-approved person(s) to sit or stand at my booth during set-up.

BOOTH

I agree and understand that I will provide my own table, garment racks and stands.

I agree and understand that I cannot share my booth/table with another company/business.

I agree and understand I cannot sell any unapproved items or merchandise.

I agree and understand that my assistant, helper and myself need to be dressed in appropriate attire, and have a neat appearance.

I understand I am allotted only one extra person to assist with my booth during Suburb Pop. 

I understand that this person has to be approved through the contract form, and must show ID. 

I understand and agree that I will not bring family, friends, and any non-approved person(s) to sit or stand at my booth during a Suburb Pop event. (Example: your children, siblings, girlfriends/boyfriends cannot sit at your pop-up booth while you are participating).

I understand I will not bring extra, unapproved persons to assist with my booth during a Suburb Pop event. I understand they will asked to leave immediately.

I agree and understand I cannot use loud distracting music, noise or sound amplification devices during a Suburb Pop event.

RESPONSIBILITY + LIABILITY

I agree that I will be held responsible for my booth/table/property at Suburb Pop. I understand that I am ultimately held liable for my property, including any garment racks, stands, e.t.c. 

I agree that I am ultimately responsible for the safety/cleanliness of my pop-up booth, for attendees and guests. I agree if in a result of damaged merchandise, broken glass, e.t.c, I immediately will clean it up.

I agree that Suburb Pop is not responsible for on-site injuries or physical accidents.

I agree that in the act of nature (example: wind, rain, storms, hurricanes, lightning, tornado’s, trees falling, animals, e.t.c), Suburb Pop is not liable for damage to a vendor’s property, merchandise, set-up, or personal injury.


I agree that I am responsible for my own liability insurance.

I agree that another vendor/maker’s property is not Suburb Pop’s responsibility, and that their set-up is not associated with Suburb Pop.

I agree and understand that I have the full responsibility to clean up after the Suburb Pop event.

I am liable for any property or item(s) that I bring into the venue.

I agree I will remove all my trash and belongings in the allotted clean-up time.

I understand if I leave any property/item(s) at the venue, I will be fined $100.00. 

I agree and understand that Suburb Pop and their coordinators will not be held responsible for any liability, lost or stolen, or damaged merchandise, or any injury incurred during the day of the event. 

I agree and understand that the city of Tampa, Suburb Pop and any adjacent businesses/properties cannot be held liable for occurrences that happen as a result of vending/attending Suburb Pop.

I agree that the venue of a held pop-up event is not liable or responsible for my property, merchandise, set-up, or myself, if injured.

Lastly, I agree during entry and exit of the venue, I will sign in + sign out with a Suburb Pop coordinator and show my ID. 

Necessities for Event

  • Table

  • Tablecloth

  • A small crate/bin/box; this is essential to store extra inventory under your table, ensuring a clean looking space

  • Signage (business cards or mini promotional flyers for your business)

  • Shopping bags (Optional, but giving customers is a bag is a generous gesture).

  • SquareChip Reader (Not all customers will have cash, so please consider getting a SquareChip reader. They are under $10 on Amazon)

This form is a binding legal agreement, between Suburb Pop and for vendors/participants, participating in pop-up events and markets. At the day of the event, you must sign in, before setting up your booth.
